PayablesNexus, web-based business management software by Nexus Systems, is a powerful yet easy-to-use system that can be configured to automate your existing process of purchase order and invoice input, imaging, routing and approval.

What can PayablesNexus do for me?
PayablesNexus provides customers with many benefits. With this flexible system you can:

Does an invoice have to be entered into the system more than once?
Once a purchase order has been created, an invoice electronically has been submitted for approval or a GL entry has been created, you will never need to re-enter the information in PayablesNexus. Single step data entry eliminates costly entry errors and allows you to process hundreds or even thousands of payables transactions faster than ever. If a vendor enters the invoice into the Vendor Portal you actually don't have to enter the invoice even once.

What if I get multiple Invoices from one Purchase Order?
PayablesNexus was designed to allow multiple associations between invoices and purchase orders. You can either have multiple purchase orders associated with one invoice, or multiple invoices associated with one purchase order.

Do I have to purchase a specific scanner or additional software to scan invoices with PayablesNexus?
No, PayablesNexus Scanning works with any TWAIN-compliant scanner. Because the scanning software is built right in, no additional software is needed.

How can you tell if there is a specific PO number associated with an invoice?
PayablesNexus will alert users if there is an outstanding PO to be associated with an Invoice and create a link between that PO and Invoice.

Will my vendors have a secure way to submit electronic invoices using PayablesNexus?
Yes, by using either the PayablesNexus vendor interface or a downloadable Excel spreadsheet, vendors can submit electronic invoices securely through PayablesNexus via an encrypted connection.

How quickly will submitted vendor invoices show up in the PayablesNexus system?
Immediately. Because PayablesNexus is web-based software, real time information is provided to all users for all system data. Based on your business rules, PayablesNexus can be configured to give specific users and/or vendors various levels of access to information in the system.

INTEGRATION

How does your system work with my GL package? Do I need to replace it?
You do not need to replace your current accounting system. PayablesNexus is capable of full integration with your existing system so that you can leverage your current accounting application within PayablesNexus. We have successfully integrated with numerous GL packages ranging in size from Timberline to MRI to JDE to Oracle. We believe that full integration is key to providing customers with the flexibility of choosing the best software tools for each function, without compromising on quality, value, or performance.

How do you integrate with my current accounting system?
We pass data back and forth between PayablesNexus and accounting systems using an Internet standard called Web Services. By using Web Services we connect PayablesNexus quickly and efficiently with your GL package, without having to create a costly and time-consuming proprietary integration. This also allows you to upgrade or change your GL package with little impact to PayablesNexus.

TECHNOLOGY

Is PayablesNexus an application service provider (ASP)?
Yes, PayablesNexus is delivered as a standard ASP model. By standardizing our product delivery, we provide you with a solid, reliable and flexible product. By using the ASP model, we can quickly deploy new releases to you without interruption to your current service.

Is Internet-delivered software safe and reliable for my business?
Web-delivered software gives businesses a new level of flexibility and power. During the last few years, the infrastructure to support Internet transactions and host data has grown robust to the point where it is more secure and reliable for your company's system to be deployed in our hosting environment than based on an in-house server. PayablesNexus' hosting architecture emphasizes redundancy and ensures that there is no single point of failure.

Does PayablesNexus require a special operating system, like Windows XP or Windows 2000?
No special operating system is needed. PayablesNexus is web-based software, delivered to you over the Internet, not stored on a network somewhere. You simply need Internet access and Internet Explorer 5.5 or higher browser.
